Getting Started
Is there a cost to submit an inquiry?
None at all. The inquiry and your Discovery Call are complimentary and carry no obligation.
What happens on the Discovery Call?
It's a relaxed 30–45 minute conversation about you: how you like to travel, what you loved (and didn't) on past trips, and what this journey needs to feel like. You'll come away knowing exactly how we'd approach it.
How far in advance should I reach out?
The earlier the better, especially for peak seasons, villas, yachts, and weddings. As a guide: 6–12 months for complex or celebratory trips, 3–6 months for most others. Shorter timelines are sometimes possible — just ask.
What if I don't know where I want to go?
That's one of our favorite starting points. Tell us how you want to feel, and we'll suggest where.
Is my information kept private?
Always. Discretion is part of who we are. Your details are used only to plan your journey and are never sold or shared.

Where in the world can you take us?
Almost anywhere. From Mediterranean villas and African safaris to Japanese ryokans and Antarctic expeditions, our network of partners spans every continent.
Do you book flights?
Yes — we can arrange flights as part of your itinerary, or coordinate seamlessly around flights you've already booked.
What types of travel do you plan and book?
Just about every kind of journey. Think luxury cruises and private yacht charters, beach and resort escapes, adventure and expedition travel, safaris, culinary and wine journeys, wellness retreats, city breaks, family vacations, honeymoons, and milestone celebrations. What types of group travel do you plan and book?
Groups of every shape and size. Think destination weddings, milestone birthdays and anniversaries, family reunions, multi-generational vacations, and getaways with friends. For kids and teens, we plan sports team tournaments, school and educational tours, band, choir and dance competitions, and scouting and youth group adventures. For companies, we plan executive retreats, team offsites, incentive trips, client hospitality events, board meetings, and conference travel. We coordinate every guest and every detail, so the organizers can simply enjoy it.
Can you book premium entertainment experiences?
Yes. From VIP packages and premium seats at concerts and major sporting events to fashion week access, film premieres, and television tapings, we can build sought-after events into your journey, or plan the whole trip around one. Availability is limited, so the earlier you share what you have in mind, the better.
I've found a hotel I love. Can you book it for me?
Please share it. If it's one of our preferred partners, booking through us can add upgrades, credits, and amenities at no extra cost.
Can you help if I've already booked part of my trip?
Often, yes. Tell us what's already in place, and we'll plan around it: the hotels, experiences, and transfers that complete the journey.
Fees & Payment
How does your planning fee work?
We offer two levels of service: Polpo Essentials for streamlined planning, and Polpo Flagship for full concierge design. After your Discovery Call, we'll recommend the right fit and share the fee upfront, before any planning begins.
Will I pay higher rates by booking through you?
No. You'll pay the same rate as booking direct, or lower. Plus, through our preferred partnerships, you'll often enjoy perks you wouldn't receive on your own: room upgrades, resort credits, daily breakfast, and early check-in or late checkout.
How does payment work?
Your planning fee is paid to Polpo Voyages. Hotels, cruises, and experiences are typically paid directly to each supplier, and we walk you through every deposit and deadline.
Loyalty & Points
Will I still earn points with my airline, hotel, and other loyalty programs?
Yes. Bookings made through Polpo Voyages earn points with your loyalty programs, just as they would if you booked direct. The one exception is certain special rates that don't allow points to be earned. When one is available, we'll present both options so you can choose what matters most to you.
Can you book flights or hotels using my points or miles?
No. Reservations made with airline miles, hotel points, or credit card points need to be booked directly through the loyalty program or card issuer. We're happy to plan the rest of your journey around them.
Travel Protection & Support
Should I purchase travel insurance?
We strongly recommend it, especially for international and higher-value trips. We're happy to point you toward trusted options.
What if something goes wrong while I'm traveling?
You'll have us. If a flight is canceled or plans need to change, we work behind the scenes to fix it, so you can stay on vacation.
